1.1 The data controller for all personal data processed through United Cultures platforms is Stichting United Cultures — Intergovernmental Foundation, registered in the Netherlands ("UC", "we", "us", "our").
1.2 This Privacy Policy applies to all 26 United Cultures platforms including but not limited to: UC Home Portal, UC News, UC Community, UC Tube, UC TV, UC Radio, UC Magazine, UC Library, UC Encyclopaedia, UC Search Engine, UC Email, UC AI Hub, UC Desktop, UC University, UC Store, UC Events, UC Memberships, UC Invest, UC Donate, UC Charity, UC Jobs, UC Network, UC Projects, UC Subsidies, UC Using of Content, and UC Coin.

2.1 Information You Provide. When you create an account, subscribe to newsletters, register for events, apply for membership, submit projects, or contact us, we may collect: full name, email address, phone number, postal address, country and territory of residence, date of birth, cultural background, professional title, organisation name, payment information (processed by secure third-party payment processors), and any other information you voluntarily provide.
2.2 Automatically Collected Data. When you access any UC platform, we automatically collect: IP address, browser type and version, device type and operating system, pages viewed and time spent, referring URL, click patterns, search queries, language preferences, and geolocation data (country level).
2.3 Cookies and Tracking. We use essential cookies for platform functionality, analytics cookies to understand usage patterns, and preference cookies to remember your settings. We use tracking pixels in our newsletter emails to monitor open rates and engagement. You may adjust cookie preferences through your browser settings.
2.4 Third-Party Data. We may receive information from UC member states, partner organisations, event co-organisers, and publicly available sources to enhance your profile and improve services.
3.1 We process your personal data for the following purposes: (a) providing and operating UC platforms and services; (b) managing your account and membership; (c) processing transactions and payments; (d) sending newsletters, event notifications, and service communications; (e) personalising your experience across UC platforms; (f) monitoring and analysing platform usage to improve services; (g) ensuring platform security and preventing fraud; (h) complying with legal obligations; (i) enforcing our Terms of Use and Copyright Policy.
3.2 Legal bases for processing under GDPR include: performance of contract (membership, services), legitimate interest (security, analytics, improvement), consent (newsletters, marketing), and legal obligation (tax, regulatory compliance).
3.3 We do not sell your personal data to third parties. We do not share your data with advertisers for their own marketing purposes.
4.1 We may share your data with: (a) UC platform service providers who process data on our behalf under strict data processing agreements; (b) payment processors to complete transactions; (c) law enforcement or regulatory authorities when required by law or to protect our rights; (d) professional advisers including lawyers, auditors, and insurers; (e) UC member states or partner organisations solely in connection with events, programmes, or services you have opted into.
4.2 Any third parties receiving your data are contractually bound to protect it to the same standard as this Privacy Policy and applicable data protection law.
⚠️ Important Notice
United Cultures collects and processes access data, usage patterns, and technical information to detect, prevent, and take action against unauthorized copying, scraping, or misuse of intellectual property across all 26 platforms.
5.1 We log detailed access data including IP addresses, timestamps, pages accessed, download patterns, and technical fingerprints to identify potential copyright infringement.
5.2 This data may be retained for up to seven (7) years and may be disclosed to courts, law enforcement, or legal representatives in connection with intellectual property enforcement proceedings.
5.3 Any individual, company, organisation, or government entity found to have infringed UC intellectual property acknowledges that their access data may be used as evidence in legal proceedings.
Under GDPR and applicable data protection laws, you have the right to:
Request a copy of the personal data we hold about you.
Request correction of inaccurate or incomplete data.
Request deletion of your data ("right to be forgotten").
Request limitation of how we process your data.
Receive your data in a structured, machine-readable format.
Object to processing based on legitimate interest or direct marketing.
6.2 To exercise any of these rights, contact: privacy@unitedcultures.org. We will respond within 30 days.
6.3 You have the right to lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens) or your local supervisory authority.
7.1 We implement industry-standard security measures including encryption in transit and at rest, access controls, regular security audits, and secure data storage within the European Economic Area.
7.2 Personal data is retained for the duration of your account plus seven (7) years, or as required by law. Newsletter subscription data is retained until unsubscription. Access logs for copyright enforcement purposes are retained for seven (7) years.
7.3 In the event of a data breach that poses a high risk to your rights, we will notify you and the relevant supervisory authority within 72 hours as required by GDPR.
8.1 This Privacy Policy is governed by the General Data Protection Regulation (EU) 2016/679, the Dutch Implementation Act (Uitvoeringswet AVG), and the laws of the Kingdom of the Netherlands.
8.2 United Cultures reserves the right to update this Privacy Policy. Material changes will be communicated via email to registered users and published across all UC platforms.
